About the Organization
The European Platform of Transport Sciences (EPTS Foundation e.V.) is a nonprofit organisation operating predominantly on a voluntary basis.
The organisation is looking for a Head of Office to support its events, communications, administration and day-to-day operations while working closely with the EPTS General Secretariat, Executive Board and General Assembly.
The Role
The Head of Office will be responsible for coordinating the organisation's administrative and communications activities. The workload will vary throughout the year, with higher levels of activity during spring and autumn.
Most work can be completed remotely through home office and flexitime. Some meetings require online attendance during usual working hours.
Key Responsibilities
Events & Programs
- Organise events and competitions, including the European Transport Congress and European Friedrich-List-Award.
- Coordinate activities with relevant EPTS organs and stakeholders.
Administration & Communications
- Maintain the EPTS members database.
- Manage the website, mailing accounts and mailing lists.
- Maintain the organisation's social media presence.
- Communicate with members individually, through newsletters and social media posts.
Finance & Accounting
- Administer EPTS accounting.
- Communicate with the organisation's tax adviser.
Organisational Coordination
- Maintain regular communication with the General Secretariat, Executive Board and General Assembly.
- Support the organisation's ongoing administrative needs.
Qualifications
- Interest in a long-term engagement of more than 5–10 years.
- Some background in EPTS-like nonprofit organisations operating predominantly on a voluntary basis.
- Willingness to become familiar with EPTS's purposes, structure and goals.
- English proficiency, as English is the organisation's main language.
- German-speaking background is advantageous for legal and financial communication.
- Ability to work independently with a high level of self-organisation.
- Comfortable working within a small, engaged team.
Work Arrangement & Travel
- Predominantly remote, with home-office and flexitime arrangements.
- Online meetings may require attendance at specified times during usual working hours.
- Mandatory international travel approximately 2–3 times per year for congresses and conferences.
- Each trip will be no longer than three days.
- Travel costs are covered by EPTS.
Compensation
€633 per month for 10 hours per week, in accordance with German rules for minor employment.
